Justify a website maintenance plan with proof the client understands

A maintenance plan gets renewed when the client can see what they pay for. Three simple kinds of proof make the work visible, even when all is well.

That is the maintenance paradox: the better it is done, the less the client sees it. At renewal time, they ask what they paid for. A list of updates does not answer that. Proof they understand does.

Proof 1: the journey that makes money was checked

The client does not care about the server. They want their own customers to be able to request a quote, book or pay. Show that this journey was replayed every day, and how many times it succeeded. With Flow, every run is a real browser clicking and typing, like a visitor.

Proof 2: the outage you caught before they did

The strongest argument for a plan is the incident the client never saw. An alert early in the morning, a screenshot of the broken step, a fix before business hours: tell it in three lines in the report. The client understands what they would have lost.

Proof 3: a status page they can open

A public status page under their name shows the state of their sites without a phone call. Pathly provides one, with a badge to place on the site. During an outage, it also reassures their own customers.

What to avoid

  • Percentages without context: 99.9% says nothing if the outage hits on a sale Saturday.
  • Jargon: “TTFB”, “502” or “cron” do not belong in the main text.
  • Response times the team cannot keep at night or at weekends.

Tie the price to this proof

Present the plan by what it guarantees: checked journeys, response time, monthly report. The price becomes the cost of an avoided outage rather than a number of hours. On renewal day, the last months of reports do the rest.

What is a maintenance plan, exactly?
An agreement where a provider looks after a site or application for the client in exchange for a recurring fee. For a website it usually covers updates, backups, security and small changes.
How much should a maintenance plan cost?
It depends on the number of sites, the response time you promise and the journeys you monitor. Decide what you guarantee first, then the price that covers it.
How do I show an outage that was avoided?
With the time of the alert, the screenshot of the step that was broken and the time of the fix. Three facts the client can check.
